Service Outage Affecting Multiple Campus Systems

Update 2 - 2:30PM: Services are coming back online.

Update 1 - 2:10PM:  ITS has identified a network outage and is working with our provider to perform further troubleshooting.

ITS is aware of a service outage affecting multiple campus systems and is in the process of troubleshooting.  We'll provide an update once the extent of the outage is known.

Google Outage Follow-Up

This morning Google experienced a world wide service outage. Many people experienced issues logging into their gmail accounts and accessing applications like Drive Sync, Google Chat, etc.

So, What exactly Happened?

At this time it is unclear why the outage occurred. Thankfully, it did not last very long and all Google Workplace applications are currently working. If you would like to monitor the status of Google Workspace applications, please check the Google Workspace Status Dashboard

Is there anything that I need to do?

Yes! Please make sure to:

  • Log back into all of your Google apps, including Drive File Stream

  • Use Google Drive!!

    • Google Drive protects you from data loss.  It is a great place to store your files, email attachments, and even photos.

    • Using drive also makes for much easier collaborations on documents and files. For example, you can use it to send large attachments with ease.

    • Drive also makes it easier to locate stored or shared files with the power of Google Search. You can also easily store email attachments, such as PDFs, in your drive.

    • Drive is also accessible from any computer, tablet, or device.

    • To learn more about backing files up to your drive, check out this link.

If you have any questions please reach out to ITS at 718-862-7973 or email its@manhattan.edu

Cyber Security Best Practices

As we are coming to the end of this year and are in the midst of an almost entirely online culture,  please review these Cyber Security best practices.

  1. Ensure your security software and computer operating system is updated with the latest versions. It is essential to install the updated security software on all your devices so that it helps to protect from cyberthreats.

  2. It is important to have a unique and complex password that can help to avoid cyber attackers from accessing your information. A strong password contains 10 characters including numbers, symbols, lowercase, and uppercase. Change your password regularly, this helps to avoid hackers to access the data.

  3. Use multi-factor authentication. Multi-factor authentication helps to protect your data by adding an extra layer of security. With MFA, if the hacker gets your password, they would be required to cross the second or third factor of authentication such as security code, OTP, fingerprint and voice recognition.

Fun Fact: If you use Duo, you are already doing this! To learn more about Duo check out this link

  4. Be cautious of links, attachments, and emails from unrecognized senders. Never give personal details in response to emails, pop-ups, attachments, or any other forms of communication that you don’t initiate.

  5. Enable Best firewall protection. This prevents unauthorized users from accessing your websites, emails and other sources of information that can be accessed through the web.

Beware of Fraudulent Text Messages

UPDATE: Most cell phone carriers offer a service to help stop spam and fraudulent text messages. Forward the contents of the spam text message and send it to SPAM (7726). You will receive a response from your cell phone carrier once they receive the text message. iPhone users are able to report blue-bubble iMessage texts by clicking the "Report Junk" link that is shown when an unknown person sends you a message. You can find more details about reporting spam text messages at this link.
_____________________________________________________________________________________

ITS has learned of several external schemes that start with a text message to a user's cell phone indicating that they are eligible for a $1200 stimulus payment.  The text messages typically provide a fraudulent website that attempts to solicit personal information which may include Social Security Number, banking information, or other personal information which can be used later by the attacker.

Sample Message:
"You have a pending direct deposit of $1,200 from COVID-19 TREAS FUND. Further action is required to accept this payment into your account. Continue here to accept this payment"

If you receive a similar message, simply delete it.  While it is unlikely that you will be contacted via text message regarding potential stimulus packages, we suggest validating similar message with state or federal government authorities rather than replying o the message.

Note: There is no indication that these fraudulent messages are related to Manhattan College.

Computer Lab Software Request Deadline for Spring 2021 is December 11, 2020

If you would like to request an upgrade of a software already installed in the computer labs or if you would like us to install a new software in the computer labs on campus, please fully read through the information on the link provided and fill out the Software Request form here. (click the big green box that says “Request Service”)

Note that software listed here is already scheduled to be installed, it is not necessary to submit requests for software, unless updating to a new version.

Please note that fully completed forms are required for any change to the labs, even for free software. All software installation media and licenses are also required by the due date.

Requests for the Spring 2021 semester should be submitted by December 11th, 2020. Requests submitted after the deadline may not be installed in the labs for the Spring 2021 semester. This is because we need time to develop an installation procedure and test the software in the lab environment before deploying the software. We also require a number of weeks to deploy the lab images and software across campus, which means our solutions need to be complete and tested several weeks prior to classes beginning.

5 Steps to Protecting Your Digital Home

Now that devices like digital door locks, refrigerators and smart assistants have become prevalent in American homes, hackers have a new way to target devices to hack.

The National Cybersecurity Alliance has written the above poster to shed light on ways to combat this. Extra measures like those listed below are good ways to put an extra blocker on the two primary places of hacker access into our lives.

  • Secure Wi-Fi

  • Dual-Authentication Logins (Like Duo!)

  • Constantly checking for software updates from our hardware and software makers is also crucial since the updates are usually made in direct response to potential vulnerabilities.

  • Limiting the information being posted on social media regarding your location will impede a hacker’s ability to pinpoint your home to begin hacking

Fore more information and tips on protecting your devices and yourself please check out this digital poster.

Special thanks to Lisa Juncaj for passing this poster along!

Google Licensing Issue Some Accounts Cannot Record or Livestream

Update 10/19/20:

ITS leadership is following up with Google as licenses were presented to us as having the same functionality.  According to this link, licenses are not the same.  Employees are assigned the "Full-domain license" and students and non person accounts are assigned the "Partial-domain license".  While we are inquiring with Google about this discrepancy, the assignment of licenses will not change.  This means that unless Google adjusts their licensing terms, only employees will be able to record and livestream going forward.  If a club or student needs to record or livestream, an employee must make the calendar invite.  As long as an employee makes the event, it will be able to be recorded and livestreamed.  We apologize for any confusion.  Please remember that the enhanced features provided to us during the beginning of the pandemic, were free during a limited time.  Once this time expired we need to pay for these licenses.

Original Post:

As you may be aware, Google provided us with free enhanced features, including recording and live-streaming, to our account through September 30th due to COVID-19.  We recently upgraded our Google Licenses to continue these enhanced services and this change was applied today. We are getting reports that some accounts can no longer Record or Livestream. We have to follow up with Google to determine the root cause. Once we have it sorted out, we will update here. We apologize for any inconvenience and ask for your patience as we get to the bottom if this.

The Instagram Bug That Could Make You Vulnerable To Hackers

Saving a single image to a mobile device can allow a cyber attacker to access your location data, contacts, files stored on the device and camera. Check Point's head of security, the world’s leading cyber security provider, describes the process as the attacker sending an image to the target's email, text message or any other communication platform. The picture is then saved to the target's mobile device and once saved the target opens Instagram it gives the attacker full access to the users phone and data.

To protect yourself from this type of invasion of privacy you should regularly:

  • Update the apps and operating systems on your mobile device.

  • Pay attention to the kinds of approvals and permissions you are giving to app developers. You should always read the fine print before approving permissions.

For more information, please check out this article

Summer Technology Upgrades to Support Teaching and Learning

This summer ITS has been working round the clock, like many others, to prepare the campus for the start of the Fall 2020 semester! Below are some things that ITS has accomplished during the summer of 2020:

  • Installations of  technology used for flexible learning.

    • Classrooms around campus have been outfitted with an IPEVO Document Camera, Speakermic and, in some cases, a webcam. This will help to facilitate flexible learning in our classrooms on campus.

    • Instructions for how to uses these devices has also been placed in all classrooms

    • We will continue to provide training and Q&A sessions on how to use the new technology in the classrooms. Be on the lookout for an announcement from ITS via the MC Announcements and our ITS blog, itsblog.manhattan.eduIPEVO Document Camerasmall webcamSpeakermic deivce

  • The implementation of “Remotely”

    • “Remotely” is a Remote Desktop Protocol (RDP) application. It allows you to remotely logon to  computers in the labs on campus and access their programs remotely. This will allow for remote students to participate in computer lab classes without having to be on campus.

    • For instructions on how to access remotely please use this link

  • Computer Labs Updated For Covid Capacity

    • All computer labs on campus have been set up to reflect open computers as well as  computers that should not be used. Computers that should not be used will display a message of “Chair to remain vacant”.  The vacant stations are powering the aforementioned Remotely app.
