Friendly Reminder: Back Up Your Data

With the convenience of the cloud and apps like Google Drive, it’s pretty easy to forget to back up your data. This is just a friendly reminder to do so!

Data on Google Drive:

Make sure that you have all of your data backed up either on your hard drive, a storage device, or a separate cloud storage service.

File Streaming:

If you are using Drive File Stream, it is very important that you are regularly checking drive.google.com to make sure that your data is syncing/saving properly. 

Once you’re logged into your google drive via web browser make sure that any files you worked on using drive file stream are present and up to date. You can access your drive via file stream or web browser on any device

Losing data can be incredibly stressful, but it is preventable! Here are some previously shared tips: 

  • Your critical data should never reside in a single place.
  • The ideal backup strategy will typically include both an online backup service (Google Drive) to ensure your data is secure no matter what happens to your mobile device or computer.
  • Running consistent, automatic backups is a straightforward process that will take a little time to set up and will require even less to maintain.
  • Backups can be configured to run in real time when files on your computer are changed.
  • Routinely test your backup solution to ensure you can recover your data in the event that you do actually need to restore from a backup.

Google Outage Follow-Up

This morning Google experienced a world wide service outage. Many people experienced issues logging into their gmail accounts and accessing applications like Drive Sync, Google Chat, etc. 


So, What exactly Happened? 


At this time it is unclear why the outage occurred. Thankfully, it did not last very long and all Google Workplace applications are currently working. If you would like to monitor the status of Google Workspace applications, please check the Google Workspace Status Dashboard


Is there anything that I need to do?


Yes! Please make sure to: 


  • Log back into all of your Google apps, including Drive File Stream

  • Use Google Drive!!

    • Google Drive protects you from data loss.  It is a great place to store your files, email attachments, and even photos.

    • Using drive also makes for much easier collaborations on documents and files. For example, you can use it to send large attachments with ease.

    • Drive also makes it easier to locate stored or shared files with the power of Google Search. You can also easily store email attachments, such as PDFs, in your drive.

    • Drive is also accessible from any computer, tablet, or device.

Update to Tiled View in Google Meet

Important Message About The Manhattan College Transition to Google Chat on June 15th

We’re excited to share that we’ll be transitioning everyone at Manhattan College to Google’s newest enterprise-grade collaboration product, Google Chat. Chat has a modern/easy viewing interface as well as team rooms that support better team collaboration, emoji reactions to make work fun, and bots to help you be more productive. Manhattan College is receiving early access to some great new features, such as an upgraded Gmail integration and the ability to chat with external users (non-Manhattan College users).

Beginning Monday, June 15th, 2020, all teams will be using Chat for direct messages (DMs), group messages, and team discussions. Classic Hangouts apps will no longer be accessible in Gmail..

How do I get Google Chat?


It's important to do the following before 6/15 as classic Hangout apps will stop working:
  1. Explore the new Web experience at chat.google.com
  2. Download the new mobile app for Android or iOS.
  3. Please make sure you install the Chat mobile app (Android or iOS) before 6/15 to minimize chances of missed messages.
  4. Download the new standalone desktop app if you've been using the classic Hangouts Chrome extension or app. You'll be able to access the desktop app from a prompt that will appear inside chat.google.com
  5. On 6/15, refresh your Gmail to get the new Chat in Gmail experience.

Where do I find my old chats?

  1. You will be able to continue recent direct messages from classic Hangouts in Google Chat, but group messages from classic Hangouts (including their history) will not be migrated to Google Chat. This means on 6/15 you will no longer see any group messages you had using classic Hangouts in your Google Chat.
  2. All previous chat history from classic Hangouts will be accessible in the Gmail Chat label.
  3. The classic Hangouts web interface for chat, hangouts.google.com will remain available during this transition in case you need more time to access and move certain group conversations. Users cannot chat in classic Hangouts by visiting hangouts.google.com in a mobile browser. Using hangouts.google.com will be the only way to access your classic Hangouts group chats.
  4. The classic Hangouts bot in Chat will also notify you of missed group messages from classic Hangouts. This means if you are using Google Chat and someone messages a classic Hangouts group you are in, you will receive a message with a link to the conversation. Please use this link for further assistance if you need to add the classic Hangouts bot to Google Chat. 

What are the limitations of Chat?


1. Google Voice and Google Fi are not currently available through Chat:
    • Users who already have a Google Voice account can access Google Voice at voice.google.com, by selecting Voice from the App launcher , or by downloading the Google Voice app (Android, iOS).
    •  Google Fi users must use the default SMS app on their mobile device to send and receive SMS messages
2. Group messages from classic Hangouts (including their history) will not be migrated to Chat. Users can still access these group messages in hangouts.google.com.

       If you have important group messages in classic Hangouts, we recommend that you recreate them as Rooms in the new Chat.


3. Group direct messages and rooms that are started in the new Chat will not send messages to users who are still on the classic Hangouts apps.

GridView Issue Update

ITS has been monitoring the Google Meet GridView extension problem. At this point we have identified the main problem being that some users have more than one GridView extension installed. Please reference these instructions for how to remove the second extension.


This double extension can be caused if you are using different gmail accounts. ITS recommends that you use Chrome profiles to prevent this from happening. Chrome profiles help to keep all of your different gmail accounts and apps separate. For more information about managing profiles please refer to the below links.

Users have also reported having issues viewing all the participants of a meeting during the meet. This could be because the GridView has many different viewing settings and needs to be tailored to the users viewing needs. Web Print (powered by PaperCut) is a web-based printing service that allows quick printing on campus from your own laptop to any public computer lab printer without the need to install any software. ITS has taken the initiative to implement Web Print in the following computer labs:

Template Gallery Google Add On

Template Gallery is a Google Add-on that provides you with a repository for additional templates that are not found in Google's template gallery. The Template Gallery also makes finding templates very easy since it is well organized in categories.

First you will have to download the add-on by navigating to the Template Gallery Download Page. Select Free where you will be asked to continue and allow permissions.

Then you will be able to run the add-on by navigating to a Google Docs document and selecting the Add-ons tab at the top, and select Template Gallery and within that menu select Browse Templates.
There a screen will appear with a categorized listing of the various kinds of templates that can be used.
Once you find and select a template that you like, select the button labeled Copy to Google Drive. The File Type information below this button will let you know if the template you selected is a template for Google Docs or Sheets.
After copying to Google Drive, the same menu will appear, this time with the blue button saying Open File. Selecting that will open that template in a new tab. You can now begin editing the template!

Silence Irrelevant Conversations in Gmail!

Do you receive emails that don't relate to your workflow? In Gmail you can simply "silence" emails that are irrelevant. Doing so will mark future emails for this conversation as Archived, so that you do not receive the emails in your Primary Inbox. If you need to check up on those muted emails, you will still be able to search for them. To mute irrelevant conversations in Gmail following the instructions below.

  1. First, select the three vertical dots button within an email. From within the dropdown menu that appears, select Mute.

Propose a New Meeting Time using Gmail!

From Gmail

When you open a Google Calendar invite in Gmail, you’ll see a new More Options dropdown menu, allowing you to propose a new time for the meeting or add a note to your RSVP.


Selecting either option will open the respective event section in calendar.google.com, where you can make those updates directly. You cannot propose a new meeting time if you are the organizer of the event. If you are the organizer, you can simply edit the event time from Google Calendar.

From Google Calendar

This feature is also available directly in Google Calendar. Simply navigate to Google Calendar and after logging in, select the event that you wish to propose a new time. Once you have clicked on the event, you can simply select the drop down menu button at the bottom.


There, you will be able to select either Propose a new time or Add note.

Create a Google Calendar Event Right from Gmail!

Did you know that in Gmail, you have the ability to create a Google Calendar event right from an email?


All you need to do to get started is simply select the three vertical dots button
at the top of an email, and select Create Event.
