Need ITS Assistance Quick? Use our Chatbot!

Need ITS Assistance Quick? Use our Chatbot!

ITS has previously introduced a student developed Chatbot to assist the community with IT related issues. This Chatbot was entirely created by a former STAR, Alberto DeAngelis ‘20, and was designed to bring you quick resolutions with the information you need to resolve potential issues you might encounter!

We have taken the time to review the questions and issues that the chatbot has been receiving as well as the feedback we received, and have updated it to included more resolutions!

You can ask the Chatbot questions about an issue you are having and it will quickly try to help you come to the best resolution and send you information from our knowledge base.

The Chatbot is running through Google Chat and is easy to install. To install the Chatbot please follow these instructions.

ITS is very excited about the CS&O-ChatBot BETA and would like to encourage you to take advantage of it!  We will continue to actively monitor the issues and questions being sent and the feedback being submitted, and update the responses to ensure as many issues and questions as possible, can be resolved.

Our goal is to make sure this tool is as useful and beneficial to the community as possible, and we would greatly appreciate any feedback you may have. Please fill out our CS&O Chatbot Survey and tell us what you think!

Google Meet End Call For All/Quick Access Fix

Google has introduced a feature which allows the host to "End call for all". This means, as the host, you can now make sure that once you leave, no one else can stay in the Meet. However, choosing the end call for all option will turn also turn off your "Quick Access" settings.

"Quick Access" is a host control that allows you to toggle a button on and off for "Quick Access" to the Meet, which means participants will be able to join automatically without requesting, or they will have to request to join even if they are using their @manhattan.edu email and the meeting host will have to manually admit participants one by one. The Quick Access panel also allows you to either allow or not allow everyone in the Meet to be able to share their screen or write in the chat but toggling the button on and off.

If you encounter this issue or would like further assistance with turning Quick Access features on and off please follow these steps.

Special thanks to Dr. Marc Waldman for creating the instructions linked above and sharing them with us!!

ITS greatly appreciates any and all feedback from the community!

As a reminder, if you have any ideas or suggestions for the creation of a Knowledge Base Article you think would be beneficial to the community, you can submit them here

Chrome Actions: A New Way To Utilize Chrome!

Google Chrome now has the ability for users to complete command actions using the URL bar.

This means that you can type the command you are trying to complete into the URL bar instead of going into your Chrome Settings and navigating through different menus.

Example of some of the commands you can type are:

  • Clear cache/browsing data

  • Manage passwords

  • Open Incognito Window

  • Update Chrome

  • Translate page

For directions on how to use Chrome Actions please check out these instructions.

While this can be a quicker way to access your settings, it is not mandatory and you can still complete these actions by going through your browsers settings.

Manage Multiple Google Accounts with Ease using Delegated Accounts or Chrome Profiles

If you work with more than one Google account, you’ve likely had some frustrating experiences. This blog post will provide you with some tools to make managing these multiple accounts a breeze. We would like to bring your attention to Delegated Accounts and Chrome Profiles and the different benefits of each. Please refer to the chart below for a summation of the main benefits of each tool. For more information on how to set up and use these tools please reference our knowledge base articles linked below.

Delegate accounts: you may want to give access to your email account to another person. Mail delegation allows the delegate to read, send, and delete messages on your behalf through their own account. Please reference this article for how to set up a Delegated Account.

For example, a manager can delegate email access to another person in their organization, such as an administrative assistant. Another great use for delegation is shared email accounts

Image of three boxes, email delegation, google chrome profile, and summary. Under email delegation says: Best if you only need to manage email. Features: Only send or reply to emails that were sent to the shared account. Those who receive emails can see which delegate(s) sent the message. This allows for transparency and accountability. Please note that this is an optional setting. Easily access from different computers as all you need to do is login to your single Gmail account. Less passwords to remember Set it and forget it Under Google Chrome Profile: Best if you need to do more than email: You need to manage account email, calendar, chat and other Google account services. You want to keep different Google accounts separate. (ex: Shared work account, normal work account, personal account) You are sharing a computer with multiple people, (ex: Your account, sibling account, partner account) You want to save your browser history and bookmarks, extensions and other settings. Summary: Email delegation is best if the need is email viewing and responding. Chrome Profiles are best if the account needs to be managed in a more involved way ie: calendar and chat.

Important things to note:

1. Delegated accounts cannot be accessed via mobile applications, ONLY on computers.

2. After a delegated email is set up, it may take a few seconds to a few hours for the changed to reflect in your account. Please refresh the tab where the account is open frequently until you see the change has been applied.
