Propose a New Meeting Time using Gmail!

When you open a Google Calendar invite in Gmail, you’ll see a new More Options dropdown menu, allowing you to propose a new time for the meeting or add a note to your RSVP.


Selecting either option will open the respective event section in calendar.google.com, where you can make those updates directly. You cannot propose a new meeting time if you are the organizer of the event. If you are the organizer, you can simply edit the event time from Google Calendar.

This feature is also available directly in Google Calendar. Simply navigate to Google Calendar and after logging in, select the event that you wish to propose a new time. Once you have clicked on the event, you can simply select the drop down menu button at the bottom.


There, you will be able to select either Propose a new time or Add note.

What is Google Hangouts Meet?

With Google Hangouts Meet, you can hold impromptu video meetings on the go, virtual training classes around the world, remote interviews, and much more

What is Dial-in?

Dial-in allows you to connect to a meeting using a phone number as an alternative to the meeting code. This feature will automatically be selected when you select the Hangouts Meet conferencing option while creating a calendar event in Google Calendar. Note that this dial-in feature uses an international phone number, which allows meeting participants in other countries to join the Meeting. Why should you use Hangouts Meet and Dial In?

It promotes communication from anywhere in the world. This is especially useful for quickly joining a Hangouts meeting on-the-go via a laptop or phone call.



Google Hangouts Meet Hardware is a meeting device found in select rooms on campus that enables video conferencing powered by Google Hangouts. With these devices, you can hold a video conference with up to 25 participants. Google Hangouts Meet Hardware on campus use full HD 1080p cameras.

Gmail and Google Calendar get a whole lot better on iOS

When you get the next Gmail iOS app update, you’ll notice some exciting changes: The biggest overhaul of the app in nearly four years. It's the Gmail you know and love, with a fresh new look, sleeker transitions and some highly-requested features. It's a lot faster, too.
With the new app, getting things done on the go is a lot easier — whether you’re trying to find a message your colleague sent you last month, or trying to get through your work inbox on a Monday morning.

Starting today, you’ll be able to:
  • Undo Send, just like you do on the desktop, to prevent embarrassing email mistakes
  • Search faster with instant results and spelling suggestions (like when you type “flighht,” but you really meant “flight”)
  • Swipe to archive or delete, to quickly clear items out of your inbox

Google Calendar: Updated for you

Based on your feedback (thank you!), the Calendar app on iOS has some shiny, new features:
  • Month view and week in landscape view, so you have even more ways to see your schedule at a glance.
  • Spotlight Search support, so you can search for events, Reminders and Goals in Apple’s Spotlight Search and find what you’re looking for faster.
  • Alternate calendars. If you often look up dates in a non-Gregorian calendar — like Lunar, Islamic, or Hindu — you can now add that calendar to easily see those dates alongside your current calendar.

Updated 25Live Link Now Available

With the launch of the new College websites manhattan.edu and inside.manhattan.edu along with recent updates to the 25Live system, we will be changing how the community accesses 25Live to create an easier and more streamlined experience.  Much of the feedback received in the spring from the 25Live survey focused around the amount of time and clicks it took to create a new event.  The new link to 25Live will be promoted as “Create an Event” and will link directly to a new, more streamlined request landing page where the requestor will be able to create an event or reserve a space with far fewer clicks and in less time.  Access to the existing full-featured site will continue to be available by clicking the "Desktop Version" link on the new landing page or using the current direct-access URL http://25live.collegenet.com/manhattan

The link to 25Live on the new quicklinks dashboard of inside.manhattan.edu will look like the following - both the button and the description when the “i” icon is clicked:

Clicking on the new 25Live quicklink will bring users to the new lightweight request page as below:

From this new landing page, requestors will have the opportunity to create a new event by clicking the “Events” button followed by a new streamlined event request wizard.  The new event wizard consists of a single screen with all pertinent event info - replacing the former multi-page request wizard.

Clicking the “Locations” button will allow requestors to quickly find a space and reserve it in a similarly streamlined fashion.  The “Resources” button has been reserved for future use.

All new links for requestors are designed for mobile - which means that event requests can now be done from any mobile device.

Finally, access to the current full-featured site will contimue to be available by clicking the "Desktop Version" link on the new landing page or using the current direct-access URL http://25live.collegenet.com/manhattan

Summer Collaboration Challenge: Week10 - Recurring Events with Google Calendar #14weekchallenge

In week 9, we explored how to schedule a meeting with multiple guests by find a time where everyone is free.  Often times meetings will recur on a weekly or other scheduled basis.  This week we'll explore how to schedule a recurring meeting and make edits to some of the occurrences for dates that fall on holidays or have other conflicts without interrupting subsequent scheduled occurrences.


Recurring Events  
The following tutorial details how to setup a repeating event.  Try creating a recurring event with your co-workers, then make a change to one of the occurrences.  For example, create a meeting every Monday for the next 8 weeks.  Fast forward to September and move your event scheduled for Labor Day to Tuesday.  Were the subsequent occurrences affected?

Make an existing event repeat

  1. Open Google Calendar.
  2. Click the event you want to update > More details.
  3. Under the date and time, check the box next to Repeat.
  4. Choose how often you want the event to repeat, and when you want the repeating event to end.
  5. Click Done.
  6. When you're done editing your event, click Save at the top of the page.

Summer Collaboration Challenge: Week9 - Scheduling a Meeting with Google Calendar #14weekchallenge

In week 3 we became familiar with Google Calendar basics and setup our Google Calendar to allow others to schedule meetings with us when we are free.  Before starting this week's tutorial, be sure that you have completed the "Configure Calendar" section in week 3's tutorial:  http://itsblog.manhattan.edu/2016/06/summer-collaboration-challenge-week3.html


Invite people to your Calendar event
Now that you are familiar with Google Calendar and have created your first event, let's explore how to invite others to your events.  Follow the instructions in this tutorial to create a meeting and invite guests.

** Be sure to explore the "Find a meeting time" section **

If the other guests have shared their calendar with you, you can use the "Find a time" feature to schedule an event at a time that works for everyone. You can compare up to 20 schedules at one time. 
Note: The "Find a time" feature is only available while using a computer, not the Google Calendar app.
  1. Open Google Calendar.
  2. Create a new event, or open an existing event (you may need to click Edit event first).
  3. Click the Find a time tab. If the other guests' calendars are shared with you, you'll see their schedules.
  4. Find a time. Use the arrows at the top to navigate between days.
  5. Once you've found a time, click the area within the calendar grid. The time will update at the top of the page.
  6. Click Save.
Note: You can only edit the event if you created the event yourself, or if the event organizer gave guests permission to modify the event.
All-day events: All-day events are shown at the top of the calendar grid. If a guest has an all-day event, they will appear available in the "Find a time" tab unless their event is set to show as "Busy." To schedule an all-day event, click the Week button and then click the area at the top of a day column.

Summer Collaboration Challenge: Week3 - Your Personal Google Calendar #14weekchallenge

Did you know that your JasperNet account also 
includes a personal Google Calendar?  With Google Calendar, you can quickly schedule meetings and events, and get reminders about upcoming activities, so you always know what’s next.  This week we'll show you how to setup your Google Calendar to keep track of classes, meetings, and events as well as configure Calendar to let others know when you are available.

Getting started with Google Calendar
Let's start by getting familiar with Google Calendar.  In this tutorial, we'll explore Calendar basics including creating meetings, reminders, and invitations as well as customizing the look and function of Calendar. 

Configure Calendar
First, we'll need to make sure the Calendar is configured to securely share your Free/Busy information while keeping your event details private.


1 - Access Calendar by clicking the Google Apps menu and selecting "Calendar.  The Google Apps menu can be accessed from any Google app including Gmail.  

2 - In calendar, select the "gear" icon at the top right of the page and select "Settings". 

3 - In the Calendar Settings screen select "Calendars" from the top menu, then click the link for the first calendar in the list.  The first calendar should be your name.

4 - In the details screen, click "Share this Calendar" from the top menu.  Recommended settings are below.  Be sure to check the appropriate boxes and select "See only free/busy" from both drop-downs.
 Your calendar has now been configured to the recommended settings to share your availability with others while keeping your event details private.

New college calendar and 25Live room reservations system

The new campus events calendar website, powered by the 25Live room reservations system, is available now at http://manhattan.edu/calendar. All room requests should now be made through 25Live.
Website Calendar & Event Promotion
As the new 25Live room reservations system rolls out, please take a look at the new campus events calendar website at http://manhattan.edu/calendar or by clicking “College Calendar” in Quick Links.

All information in this online calendar is now coming from the 25Live system and we will be retiring the previous online calendar system, Localist. The iPhone app and user accounts associated with the old calendar will be discontinued.

The new online calendar includes features to add events to your Google calendar, receive event reminders by text message or email, and provides multiple ways to view the calendar data.

In addition to the online calendar, events from 25Live can also automatically appear on digital signage.

Training & Access
Access to 25Live is now available to all campus users via the college calendar website by  clicking on the green “Reserve a Room” button.

In person training sessions are available every Tuesday and Wednesday through September.  See the 25Live training schedule here.  No sign up is needed, just come to any scheduled session.

25LIVE Training - Tuesdays and Wednesdays


Training sessions for the 25LIVE system will be available starting Tuesday 8/11. Sessions will held in the O'Malley Library Electronic Classroom (410) each Tuesday 3:15PM-4:15PM and Wednesday 11:50AM-1:00PM for the next 6-weeks.



Topics for the training sessions will include:
- Introduction to 25LIVE
- Basic event and room request
- Approval workflow
- Promoting your event on the campus calendar and digital signage
- Advanced topics including recurring events
* Please note training sessions are targeted to new and returning faculty and staff.   Additional training specially tailored for student clubs will take place in September.


25LIVE is a new system to better manage room reservations, event planning, and event promotion and will replace the current online campus calendar and room reservation process.

Introducing 25LIVE - Event Planning and Promotion Made Easy

A new system to better manage room reservations, event planning, and event promotion is coming soon. The current online campus calendar and room reservation process will be replaced by a system called 25LIVE.



25LIVE will become available to the campus community the week of 8/3.  Watch out for updates leading up to the 8/3 launch for more information!

Changes coming to Campus Calendar and Event Planning Process

A new system to better manage room reservations, event planning, and event promotion is coming soon. The current online campus calendar and room reservation process will be replaced by a system called 25LIVE. Training has already begun for key personnel and more information for the community will be available soon.

The new system will offer a streamlined workflow to facilitate many aspects of event planning including centralized room reservations and resource requests. Additionally, events that need to be promoted to the community can automatically be added to the online college calendar and digital signage without any extra work. Options to be notified of events via email and text message will also be available.  

Events for fall 2015 and beyond should no longer be entered in the current (old) campus events calendar.  A new process for entering campus events in 25LIVE will be announced in July.

ITS Releases Updated Digital Signage System

New Installs in Student Commons Complete; Retrofit of Existing Campus Installations Taking Place This Week


ITS is pleased to release an updated version of its Digital Signage System service offering. The update consists of an upgrade to the open-source Concerto digital signage software (player software and content server) from Concerto I to Concerto II. The update also consists of rollout to the new display devices in the Student Commons, as well as replacement of the older device players (or mini-computer) for existing units.

Most folks will recognize Digital Signage (electronic signs) around campus as the flat-screen displays - or TV's - which show posters of upcoming events and other news items. The electronic signs have been primarily used by Student Life, and are placed in strategic locations on campus. By providing an alternative to paper posters, Digital Signage allows for paperless advertising and is an effective and attractive way to communicate what's happening on campus. Hence better than print for green reasons.




A key component of Manhattan College's new implementation is the automatic retrieval and display of current event information from the college's calendar via feeds, part of ITS's Create Once, Publish Everywhere model. Current news is similarly retrieved and displayed from a variety of sources, including college and world news. Once the process is set up, no user interaction is required to keep events and news up-to-date as the items are automatically retrieved from the published events and news sources. Content feeds are matched to each screen's owner and audience. The system also supports the older poster upload method for items that do not lend themselves to this publishing model. Screen and content owners are being contacted to transition custom content to the new system. Emergency feeds from the college's e2Campus system will also be displayed, as applicable. The system is being expanded to include college twitter feeds, as well as athletics news, schedules, and scores.

As part of this upgrade, ITS now provides a supported hardware player - the computer which powers the display - and peripherals. Departments continue to provide their own display device / monitor, selected from a list of recommendations. This new service model will enable ITS to better monitor and support this system going forward.

Heartbleed Bug

The following is an update to the Manhattan College community regarding the recently discovered Heartbleed software bug - http://heartbleed.com/

ITS has been working with our software vendors to investigate our exposure to the recently identified Heartbleed bug that affects OpenSSL software - one of the most common cryptographic libraries used to secure Internet communications such as secure websites (via https://) and VPNs.

The majority of our "production" systems such as www.manhattan.edu, Banner, self-service, SSO, Moodle, etc were never vulnerable to the flaw based on the version of software installed on these systems.  Some "test" systems with limited access were vulnerable, but patched by Tuesday AM.  Additionally, ITS is taking preventative measures to update software and configurations on all systems running OpenSSL cryptographic software as a precaution.


What do I need to do?  Be aware of scams!

In the coming days, you may be notified by various services related to your social media, banking, or other accounts potentially affected by the Heartbleed bug.  Take these notifications seriously and consider changing your password on these services.   Currently, no action is required for your JasperNet account.  If this changes, the campus community will be notified.

Be aware of scams!  With the legitimate notices will come "phishing" scams from illegitimate sources asking for your username, password and/or other personal information.  ALWAYS verify the legitimacy of these types of messages and NEVER give your password or personal information unless you are certain that you are dealing with a trusted service.  Tips on how to avoid phishing scams can be found here:  http://www.phishing.org/scams/prevent-phishing/

Google Calendar Group Invites


Inviting a group to an event in your Google Calendar is the easiest and most efficient way to invite substantial numbers of people at one time. Using Google groups, you can invite up to 10,000 attendees for one-time events and 5,000 attendees for recurring events. This new feature eliminates the hassle of adding a large number of guests to calendar events one by one.
