Network Issue Affecting Phone System

Update 9/13/24 3:23PM: Outage resolved. All is working as per normal now.

 We are aware of a network issue that is also affecting the phone system. Some VOIP phones will not work until this is resolved.

Telephone Time Not Updating for Some Phones

Update 9:11AM 3/13/24: I confirmed with New Era support (Phone Company) that they had to manually fix the time in some systems. They are working on a program to automate this in the future as had been done in the past.

Update 12:18PM: Affected phones are starting to show the right time.

ITS is aware of an issue where some phones do not have the updated time. We have submitted a ticket to our phone support company and will update you when more information becomes available.

Leo Telephone Maintenance - Week of January 8th

Technicians will be performing maintenance on campus telephone systems in the Leo Engineering building the week of January 8th.  Offices in Leo should expect short interruptions of telephone service while lines are moved to new equipment.  More information will be communicated to affected users prior to the maintenance.

Client Services Improved Telephone Response Time

The ITS department continues to improve upon our level of service.  We worked hard to increase the amount of Client Services Technician coverage this semester.  Also, due to the Telephone Upgrade we were able to implement the ability to call all Client Services locations at once.  The pairing of these two initiatives has allowed us to guarantee an improved response time to requests made via x7973.  Click here for more information.

New Feature - Voicemail to Email

One of the most-requested features delivered by the new telephone system is the ability to forward voicemail messages to your email inbox - providing the ability to receive and check voicemail messages from any network connected device including smartphones, iPads/tablets, laptops, and desktop computers with speakers.

Opt-In
The new voicemail-to-email feature is being offered as an opt-in service. Users are able to choose between traditional voicemail storage and retrieval or the option of forwarding all voicemail messages to their College email account - providing virtually limitless storage as well as the ability to store, sort, and forward voicemail message the same as email.

Storing, Sorting, and Forwarding
Once voicemail is forwarded to your Manhattan College email account, you have the ability to sort/copy the messages to a "Voicemail" folder to make searching for new and past voicemail message a snap.  Simply follow the instructions here to implement a Gmail filter and start organizing your voicemail messages.

Telephone System Upgrade - Handset Replacement Schedule

The final phase of the campus telephone system upgrade will be completed over the next week and a half - between 3/14 and 3/22.  During this time telephone system installers will be replacing user telephone handsets (the phone on your desk).  Users will not need to be present to have their telephone handset replaced.



Basic functions of the new phones will work the same as your current phone - such as dialing, hold, and speakerphone.  For more advanced features - including voicemail - you may need to refer documentation provided or attend a training session via this link - http://itsblog.manhattan.edu/p/telephone-system-upgrade-2013.html

There will be an announcement the week of 3/18 providing instructions on how to access the new voicemail system.  Users will be required to activate their new voicemailbox.  Optionally, you will be able to enable and configure advanced features such as voicemail-to-email.

Telephone System Upgrade - Coming Soon.....

To prepare for the planned telephone system upgrade happening over Spring Break, Information and Training sessions will be held throughout the week of 3/11-3/15.  4-5 sessions will be scheduled per day lasting up to 1-hour.  Sessions will focus on changes from the existing phone system as well as explanations of new features including voicemail-to-email notification.

As part of the planned telephone system upgrade, new telephone handsets will be distributed to all users.  These handsets will be on display at the information/training sessions and users will have the opportunity to try them out and ask questions.  The goal of the upgrade was to ensure all campus users had a consistent, modern set of equipment and features.  Images of  these phones are below:





The majority of the work to complete the telephone system upgrade will happen the week of 3/18.  During this time some telephone services may be unavailable to campus users.  Installers will also take this opportunity to replace existing telephone handsets in all campus locations with a modern telephone handset similar to the photos above.  Upon completion of the upgrade, users will need to update their voicemail settings and greeting - a task that may be completed in advance when attending a training session.


We are looking forward to a smooth transition to this new system and the new features including voicemail-to-email notification.

Campus Telephone System Upgrade

Campus Telephone System Upgrade

Work has begun to implement an updated campus telephone system over the next few months.  Please be on the lookout for additional communication regarding this upgrade every couple of weeks.  While much work still needs to be done to implement the new system, a design is in place and staff from the Telephone Department will be surveying campus locations to prepare for implementation.

How will this affect me?
Expect access to a wide range of additional features including voicemail-to-email and a new modern telephone handset while keeping the same phone number.  A project goal is that ALL telephone handsets will be upgraded and will include an LCD display.  Details on features and handsets will be announced in the coming weeks.

When will the system change?
While much “behind-the-scenes” work will be done in January and February, we expect the system to “go live” in mid-to-late March - with much of the telephone handset replacement work being done over Spring Break.

How will I know how to use the new system?
The new telephone system will work the same for making and receiving calls.  Training will be available to all campus users in the weeks leading up to the launch of the new system to address changes in the system as well as how to use new features.  While much of the upgrade will be completed for you, users may be required to update their voicemail greeting or other personalized settings.
