Email Server Outage Affecting Voicemail to Email and Scan to Email

Update Monday July 29, 2024 8:19AM: This issue was resolved over the weekend. All services are back up and running. 

 ITS is aware of an issue affecting Voicemail to Email and Scan to Email delivery. We are investigating and will update when more information is available. Note that regular email is not affected.

Update 4/5/24 11:24AM: A fix has been implemented and all affected services are fully operational. There may be a delay if there is a high volume.

Mail Server Outage Affects Scan to Email and Voicemail to Email

Issue resolved 11:50AM 2/28/24

Back logged messages will come through. We have not turned on the copy of messages to voicemail box since back logged messages are not lost and come through.

 We are currently experiencing a mail server outage. This affects scan to email and voicemail to email. We will be setting all who have voicemail to email setup to copy so that there will be a copy of your messages in your voicemail box. Messages should be cleared on your voicemail box to ensure you do not run out of space.

The ITS blog will be updated when the outage has been resolved.

New Feature - Voicemail to Email

One of the most-requested features delivered by the new telephone system is the ability to forward voicemail messages to your email inbox - providing the ability to receive and check voicemail messages from any network connected device including smartphones, iPads/tablets, laptops, and desktop computers with speakers.

Opt-In
The new voicemail-to-email feature is being offered as an opt-in service. Users are able to choose between traditional voicemail storage and retrieval or the option of forwarding all voicemail messages to their College email account - providing virtually limitless storage as well as the ability to store, sort, and forward voicemail message the same as email.

Storing, Sorting, and Forwarding
Once voicemail is forwarded to your Manhattan College email account, you have the ability to sort/copy the messages to a "Voicemail" folder to make searching for new and past voicemail message a snap.  Simply follow the instructions here to implement a Gmail filter and start organizing your voicemail messages.

Telephone System Upgrade - Coming Soon.....

To prepare for the planned telephone system upgrade happening over Spring Break, Information and Training sessions will be held throughout the week of 3/11-3/15.  4-5 sessions will be scheduled per day lasting up to 1-hour.  Sessions will focus on changes from the existing phone system as well as explanations of new features including voicemail-to-email notification.

As part of the planned telephone system upgrade, new telephone handsets will be distributed to all users.  These handsets will be on display at the information/training sessions and users will have the opportunity to try them out and ask questions.  The goal of the upgrade was to ensure all campus users had a consistent, modern set of equipment and features.  Images of  these phones are below:





The majority of the work to complete the telephone system upgrade will happen the week of 3/18.  During this time some telephone services may be unavailable to campus users.  Installers will also take this opportunity to replace existing telephone handsets in all campus locations with a modern telephone handset similar to the photos above.  Upon completion of the upgrade, users will need to update their voicemail settings and greeting - a task that may be completed in advance when attending a training session.


We are looking forward to a smooth transition to this new system and the new features including voicemail-to-email notification.

Campus Telephone System Upgrade

Campus Telephone System Upgrade

Work has begun to implement an updated campus telephone system over the next few months.  Please be on the lookout for additional communication regarding this upgrade every couple of weeks.  While much work still needs to be done to implement the new system, a design is in place and staff from the Telephone Department will be surveying campus locations to prepare for implementation.

How will this affect me?
Expect access to a wide range of additional features including voicemail-to-email and a new modern telephone handset while keeping the same phone number.  A project goal is that ALL telephone handsets will be upgraded and will include an LCD display.  Details on features and handsets will be announced in the coming weeks.

When will the system change?
While much “behind-the-scenes” work will be done in January and February, we expect the system to “go live” in mid-to-late March - with much of the telephone handset replacement work being done over Spring Break.

How will I know how to use the new system?
The new telephone system will work the same for making and receiving calls.  Training will be available to all campus users in the weeks leading up to the launch of the new system to address changes in the system as well as how to use new features.  While much of the upgrade will be completed for you, users may be required to update their voicemail greeting or other personalized settings.
